Contracts Manager

The Lavin Agency is the largest intellectual talent agency in the world. The Role:
 
The Contracts Manager manages and executes all professional speaking and appearance contracts for the company and clients.
 
What we look for:
  • -Bachelor’s Degree or the equivalent. A background, academic or professional, in business and/or   contract administration is desired.
  • -Previous exposure to a fast-paced, multi-tasking work environment.
  • -Superior phone and email etiquette.
  • -Meticulous attention to detail.
  • -Critical thinking and thoughtful problem-solving.
Responsibilities:
 
  • -Support sales team when closing deals to ensure that all contracts adhere to company policies and legal requirements.
  • -Oversee all contract reviews for liability insurance, media licensing, intellectual property rights,     and risk tolerance concerns as they arise.
  • -Negotiate and close speaking contracts for new and exclusive talent.
  • -Manage hand-off procedures between sales and logistic staff.
  • -Monitor and facilitate the hand-off of all events between departments.
  • -Provide administrative and logistic support at an executive level to intellectual talent for         worldwide keynote speaking events.
  • -Manage travel and daily calendars for a dedicated roster of speakers for multiple concurrent   events.
  • -Collaborate with external agencies on co-brokered contracts, including travel, publishing, and     PR to meet client needs.
  • -Perform other tasks and/or responsibilities as required.

Event Coordinator

The Event Coordinator manages speaker logistics for events worldwide, streamlining the process from initial booking to standing ovation. 
 
What we look for:
  • -1 to 3 years of related experience.
  • -Exposure to a fast-paced, multi-tasking work environment.

  • -Meticulous attention to detail.
  • -Critical thinking and thoughtful problem-solving
Responsibilities:
  • -Cultivate positive relationships.
  • -Ensure contract terms and speaker requirements are met.
    • -Manage communications re: contracts, marketing materials, event schedules, pre-event calls,     travel, payment, media requests, etc.
  • -Research and book travel arrangements (including flights, trains, cars, hotels, etc.) within   designating timeline, adjusting as needed for last-minute bookings, back-to-back events, etc.,   working closely with our travel agency.
  • -Prepare detailed event itineraries for speakers.
  • -Perform other tasks and/or responsibilities as required.
